Responsibilities
- Manage incoming and outgoing correspondence.
- Maintain information management systems and update computerised and paper-based records.
- Provide general administrative support to Section staff, including data entry, scanning, filing, and document handling.
- Organise events such as workshops, seminars, and training courses.
- Screen and handle telephone calls and enquiries appropriately.
- Liaise with the Corporate Services Section, particularly in relation to staff travel arrangements.
- Contribute to the development of standard operating procedures and ensure adherence.
- Provide support in drafting, reviewing, and updating internal records and documents.
- Perform other duties as assigned by the Director, Deputy Director, Head of Section, Senior Manager, or Manager.
Requirements
- School Leaving Certificate with at least 5 years’ relevant experience; OR
- MQF Level 4 qualification with at least 2 years’ relevant experience in administrative or secretarial duties.
- Preference will be given to candidates with formal qualifications in administrative and secretarial duties or proven experience in a similar role.
- Strong written and verbal communication skills in both Maltese and English.
- Excellent analytical and report-writing skills.
- High proficiency in Microsoft Office and office automation tools.
- Strong organisational, leadership, and motivational skills, coupled with ethical responsibility and diligence.
- Ability to work independently with minimal supervision, while also functioning effectively as part of a team.
- Strong multi-tasking skills with the ability to work under tight deadlines and flexibility to work beyond standard hours if required.

Office Hours
- Winter: 08:00 – 17:00.
- Summer: 08:00 – 13:30.
