Our client, a well-established Corporate Service Provider (CSP) in Malta, is currently expanding their team and is seeking to recruit a Junior Administrator – Immigration & Relocation.

This role is designed to strengthen the team’s operational capacity by providing day-to-day administrative and workflow support. The successful candidate will work closely with team members, receiving structured guidance and on-the-job training while developing a solid foundation in immigration and relocation processes. 

Such individual is expected to gain confidence and understanding and eventually will have a portfolio of clients to manage and build a lasting relationship with. The successful candidate will be given the opportunity to shadow colleagues and gain experience. 

Responsibilities:

  • Providing comprehensive administrative support to the Immigration team, including managing digital and physical filing systems, maintaining accurate records of applications and submissions, and issuing client invoices; 

  • Maintaining online and physical client files in an organised, accurate and up-to-date manner; 

  • Assisting clients with third-party and ancillary services, including health insurance, translation services, and property-related requirements, in collaboration with a leading local real estate agency; 

  • Supporting the client onboarding process by assisting with compliance and KYC documentation, ensuring client records are maintained in line with regulatory requirements and internal policies; 

  • Assisting with the preparation and maintenance of Annual Compliance files and other ongoing regulatory requirements; 

  • Participating in client meetings and internal case discussions, as required; 

  • Gaining exposure to and progressively taking ownership of a range of immigration and residence application processes, including residence, work permit, and special residence programmes, in line with team requirements. 


Requirements:

  • A minimum O’ Level standard of education; 

  • Any experience in the field of work permit applications or residency programmes is considered an asset; 

  • A five-star customer service attitude, ready to work with different clients and surpass their expectations; 

  • Willingness to learn from other team members and grasp what is being explained and asked of them; 

  • Excellent ability to communicate in English, both verbally and written; 

  • A proven ability to develop and maintain effective relationships with clients and internal departments ensuring lines of communication remain open; 

  • Ability to work as part of a team, assisting others where necessary to ensure all deadlines are met; 

  • Ability to work on own initiative and with minimum supervision; 

  • Ability to prioritise between different clients and deadlines according to urgency and ability to multi task; 

  • Must be well organised and have an eye for detail.
