Our client, a well-known and respected Corporate Service Provider in Malta, is currently looking to recruit a Corporate Administrator to join their team.
As a Corporate Administrator, you will manage and oversee corporate structures for both local and international clients. Your responsibilities will include handling administrative, compliance, and regulatory tasks to ensure smooth operations of companies and trusts under Maltese law.
Responsibilities:
- Assist in the formation of companies in Malta and internationally, including drafting and filing necessary documentation.
- Maintain corporate records, such as registers of shareholders, directors, and beneficial owners.
- Prepare and file statutory returns, annual returns, and other regulatory documents with the Malta Business Registry (MBR).
- Ensure that all companies adhere to local regulations, particularly Anti-Money Laundering (AML) and Know Your Customer (KYC) requirements.
- Conduct due diligence and compliance checks for new and existing clients.
- Monitor changes in regulatory requirements and ensure that client entities are in compliance with Maltese laws and regulations.
- Organize and attend board meetings, prepare agendas, and draft minutes.
- Ensure that company decisions are documented and implemented in compliance with the legal framework.
- Liaise with directors, shareholders, and external advisors to coordinate corporate governance matters.
- Maintain strong relationships with clients, ensuring their needs are met and providing them with regular updates on legal and regulatory changes.
- Assist clients with restructuring, mergers, or liquidations of their companies.
- Act as the main point of contact for assigned clients, providing them with timely and accurate information on their corporate structures.
- Coordinate with government bodies such as the Malta Financial Services Authority (MFSA), MBR, and tax authorities for corporate filings, compliance matters, and other administrative processes.
- Handle queries and correspondences from regulatory authorities on behalf of clients.
- Assist with the preparation of VAT, tax returns, and other financial reporting requirements.
- Collaborate with internal and external accounting and tax teams to ensure that the corporate entities are in good standing and meet their fiscal obligations.
- Handle ad hoc administrative tasks, including document management, office correspondence, and organizing corporate files.
- Support the Corporate Services Manager and senior management team in ongoing projects.
Requirements
- At least 2-3 years of experience in a similar role within a CSP, legal, or financial services firm.
- A degree in Business Administration, Law, or a related field is preferred.
- Professional qualifications in corporate services or compliance (e.g., STEP, ICSA) will be considered an asset.
- Strong knowledge of Maltese corporate law, MBR procedures, and regulatory frameworks.
- Excellent organizational and multitasking abilities with a strong attention to detail.
- Familiarity with AML/KYC regulations and compliance practices.
- Strong communication and interpersonal skills, with the ability to manage client relationships.
- Proficiency in Microsoft Office Suite and corporate administration software.
- High level of integrity and discretion when handling confidential information.
- Ability to work in a fast-paced environment and manage multiple deadlines.
- A proactive and self-motivated individual who can work independently as well as part of a team.
