We are pleased to be assisting our client, who operates within the CSP and Legal industries. They are seeking to enrich their team with the addition of a Shipping Administrator.
Responsibilities:
- Assist the lawyers in handling client queries related to ship and yacht registration, as well as company incorporation (as the case may be), ensuring smooth follow-up and accurate documentation.
- Assist in the processing, registration and renewal of vessels, crew certifications and other related documentation.
- Manage administrative duties such as maintaining filing systems, archiving, billing and time recording.
- Prepare, issue, and manage invoices as well as follow up on payments and handle debt collection processes.
- Liaise regularly with local and international maritime authorities, including Transport Malta.
- Collaborate with Accounts, Corporate, and Compliance departments to ensure smooth billing and registration workflows.
- Maintain accurate records and ensure all procedures are followed meticulously and promptly.
Requirements:
- Minimum A-Level standard of education.
- Relevant administrative or maritime qualification is an asset.
- Strong command of English (spoken and written) – knowledge of Maltese is considered an advantage.
- Able to work independently with minimal supervision, as well as part of a collaborative team.
- Previous experience in the maritime industry or a similar administrative role is highly desirable.
