Our client, operating within the public sector, is seeking to recruit a Sales Coordinator to join their team.

The primary purpose of this role is to act as the point of reference between the Sales Offices and Head Office, conduct checks on stock and other sales channels, including 3rd party also, as well as issuing of periodical reports as required. The Sales Coordinator should work closely with the Sales Manager in order to ensure a smooth operation at the sales outlets and maintain a respectable and good relationship with the sales agents. S/he should conduct recorded periodical checks at Sales Offices to ensure quality standards as required by Management, and ensures the sales offices are a safe and secure environment to work in.

Responsibilities:

  • Control of all travel cards and top-up voucher (if applicable) stock movements and maintain a record of any stock movement;

  • Provide periodical (at least monthly) reports of all stock takes across all channels and provide accurate stock levels to Finance Dept.

  • Ensure that all Sales Agents and third-party distributors are well stocked and replenished;

  • Close monitoring of individual sellers’ stock levels;

  • Liaising with any 3rd party for the packing of travel cards for further distribution to 3rd party sales outlets;

  • Monthly reporting of stock usage and distribution according to the Finance department’s requirements;

  • Frequent updating of procedures to ensure an efficient running of all Sales Offices and also procedures and processes related to Head Office;

  • Liaising with Finance department for the preparation of month end reports;

  • Preparing and checking employees’ timesheets including the individual calculation of commission of Sales Agents to be submitted to the Payroll department;

  • Coordinating the mail run between Head Office and the various Sales Offices, normally happening three times a week;

  • Weekly sporadic health checks at Sales Offices to monitor marketing material stock and other items to make sure a quality service is given;

  • Rostering of employees in the various Sales Offices and rostering extra resources on overtime basis;

  • Being on call on weekends to roster any additional resources to replace any employees reporting sick;

  • Daily reconciliation of Sales Agents sales and assisting with any queries that Sales agents or third-party distributors may have on a daily basis;

  • Any other duties related to the job position that may be required depending on the exigencies of the business at the time.


Requirements:

  • 12 months experience in sales back-office operations

  • Ordinary level of education in Mathematics

  • Proficiency in verbal and written communication in English, and preferably Maltese.

  • Proficiency in MS Excel

  • CRM Software Proficiency

  • Experience with basic Data Analysis and Reporting related to Sales activities
