AIMS International Malta is assisting one of our clients in their search for an ambitious Office & Marketing Administrator who will be provide support to their clients.
 
Responsibilities:
  • Maintain administrative responsibilities for subsidiary projects, including email management, lesson scheduling, reservation requests, and access control.
  • Serve as a secondary point of contact for administrative tasks assigned to the Office Administrator, acting as a backup when required.
  • Serve as a secondary point of contact for HR-related administrative tasks, ensuring continuity of operations.
  • Preparation of the Timesheet, Leave, and Billing Reports of Employees
  • Liaise with facility management vendors, including cleaning, catering, and security services, and manage contracts, negotiations, and service quality.
  • Keep stock of office supplies, place orders when necessary, and ensure cost-effective procurement.
  • Manage phone calls, correspondence (emails, letters, packages), and office communications.
  • Provide general support to visitors, including directing them to appropriate personnel and handling inquiries professionally.
  • Update calendars, schedule meetings, and coordinate meeting logistics.
  • Assist colleagues with administrative duties and handle ad-hoc tasks as they arise.
  • Process invoices, including acquiring approvals and ensuring timely payment processing.
  • Coordinate with subcontracted brand designers, content writers, and other marketing subcontractors to maintain websites and create marketing content.
  • Manage and update social media accounts and company websites, including content creation, post scheduling, and engagement tracking.
  • Oversee the creation, editing, and distribution of marketing content across various platforms.
  • Utilize national, regional, and online media channels to enhance and maintain the company’s brand presence.
  • Coordinate paid and unpaid advertising campaigns to maximize brand visibility and lead generation
Requirements:
  • Monitor expenses related to office supplies, subscriptions, and facility management.
  • Minimum of a Higher Diploma in Marketing, Business Administration, or a related field (Bachelor’s degree preferred).
  • A minimum of two years of experience in an administrative or marketing role is considered an asset.
  • Strong knowledge and hands-on experience with Canva for content creation.
  • Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook).
  • Experience in maintaining and managing social media platforms (Facebook, Instagram, LinkedIn, etc.).
  • Ability to work independently and collaboratively in a team environment.
